Microsoft Office for UW-Owned and Personally-Owned Computers at UW-Madison

These are your options for getting the MS Office desktop apps (Word, Excel, Outlook, etc.) on your computer.

Microsoft software is licensed several different ways at UW-Madison. This is what's relevant to Office licensing:

EES (Enrollment for Education Solutions; https://kb.wisc.edu/page.php?id=5084)
This licenses all UW-owned computers for Windows and Office. It is a subscription agreement that gives us the right to install and use all released versions of Windows and Office during the term of the agreement. Our current agreement runs through 10/31/2019 and will be renewed.

Office 365 Education E1
Microsoft makes the Office 365 Education E1 plan available for free to academic institutions. That provides benefits, but not the Office desktop apps.

EES & Office 365
If an academic institution licenses Office for all institutionally-owned computers (as UW-Madison does under our EES), Microsoft permits installation of Office on up to 5 PCs or Macs, 5 tablets (Windows, iPad, or Android), and 5 phones (https://products.office.com/en-us/business/office-365-proplus-business-software) through an Office 365 infrastructure (in other words, not on DVD or local download). Those devices can be UW-owned or owned by faculty, staff, or students.

Taking the above into consideration, the following are options for getting MS Office on your computer, depending on your affiliation with the UW and whether you're installing on a personally-owned or UW-owned computer.

  • Faculty and staff
    • Personally-owned computers
    • UW-owned computers
      • Mac
      • Windows
        • If the machine is assigned to one person, download and install from the Office 365 Portal
        • If the machine is not assigned to one person and is a shared machine that will not require NetID login (such as a kiosk), IT staff can download and install from the Campus Software Library > Microsoft for UW-owned Computers > Microsoft Office for Windows Shared Machines (C2R Installers) > Office 2019 Pro Plus for Kiosks.
        • If the machine is not assigned to one person and is a shared machine that will require NetID login (such as in a computer lab), IT staff can download and install from the Campus Software Library > Microsoft for UW-owned Computers > Microsoft Office for Windows Shared Machines (C2R Installers) > Office 365 Pro Plus for Computer Labs.
  • Students
  • Emeritus/Retired
    • Personally-owned computers
      • Not licensed to use Office desktop apps under any existing agreement between UW and Microsoft.
      • The online versions of Microsoft Word, Excel, OneNote, and Powerpoint are free to everyone, but you can't access them from within your UW Microsoft portal. You can access them using a separate, personal Microsoft account.
      • Retail Microsoft Office products are available directly from Microsoft.
    • UW-owned computers
      • Although most emeritus/retired will not be able to initiate downloads of Office, Office downloaded from the CSL can be installed and used on any UW-owned computer.
      • If emeritus/retired have a zero-dollar or part-time appointment, they will be able to download and install software from the CSL solely for installation and use on UW-owned computers.
  • Alumni
    • Not licensed to use Office desktop apps under any existing agreement between UW and Microsoft
    • The online versions of Microsoft Word, Excel, OneNote, and Powerpoint are free to everyone, but you can't access them from within your UW Microsoft portal. You can access them using a separate, personal Microsoft account.
    • Retail Microsoft Office products are available directly from Microsoft.
