KB User's Guide - Documents Tab - Embedding Video

This document provides information on how videos can be embedded within your KB documents.

Embedded videos should always include captions for accessibility. Some video hosting services, such as YouTube and Kaltura, support auto-captioning or the inclusion of separate caption files. Alternatively, you can embed captions directly in your video using the video editor of your choice.

We recommend taking time to understand what options are available to you based on the hosting method you choose, and please feel free to reach out to the KB team for assistance.

Where Videos Can Be Hosted

Depending on how you and where you are using a video, there are several hosting options, each with unique advantages. Please note that some of the below options are specific to UW-Madison; other partner institutions may have different options available to them.

Third-Party Hosting

In most cases, it is recommended that you host videos outside of the KB using a third-party option. The below options are available to UW-Madison users through campus licenses:

  • Kaltura MediaSpace
  • YouTube
  • Box (not recommended for long videos)

Other hosting services such as Vimeo may also be used, though these may not be covered under a campus license. Please always review vendor Terms of Service before uploading content to a third-party service.

Hosting in the KB

For smaller videos (under 125MB), you have the option of hosting the video in a KB attachment folder. This is generally only recommended if you are not planning to make the video available anywhere outside of your KB document.

Embedding Your Video

To insert an embedded video in your KB document, use the Insert Media option in TinyMCE. This can be found in the menu bar under Insert > Media... or by click the Insert/edit media button which appears as a square with a play button arrow inside in the toolbar.

  • Use the General tab if you are embedding a video from your KB attachment folder, or if you are using another direct link to a web-based source where the video is hosted. For this option, paste the URL path to the video file into the Source field.

    • Note: You can quickly get the path to a video file in a KB attachment folder by clicking the Copy url link for the file.
  • Use the Embed tab if you are embedding a video from another video-hosting service like Kaltura or YouTube. These services will typically have a way to customize certain embed options (such as the size of the embedded) and copy the embed code. The copied embed code can then be pasted under this tab.
