External Candidate Home Accounts

Covers how external candidates can create their account and reset their candidate home account password.Security Roles

Process Considerations:
- External candidates are required o create a Workday candidate home account when submitting their first application. This account can be used across all external career sites.
- Recruiters cannon modify candidate email addresses or passwords. This information can only be updated by the candidate.
Account Creation
External candidates can create an account directly with Workday using an email address or by using social sign-in. When using social sign-in, candidates are redirected to the provider's platform to enter their login credentials and are returned to their Workday candidate account once authentication is complete. The following social providers can be used:
- Google.
- Apple.
NOTE: Apple users who have enabled the "Hide My Email" feature may not receive email notifications, or messages may be directed to their spam or junk folder. - LinkedIn.
The following chart outlines the different account scenarios a candidate may encounter:

| Creates an account as a new candidate using an email address or social sign-in. | A candidate account in created and the candidate can apply for jobs. |
| Candidate logs in using a social provider but originally created an account with their email address (same email for both accounts). | The candidate is directed to their existing account and can view current and past applications. |
| Candidate logs in using a social provider but originally created an account with their email address (different email for the accounts). | The candidate is not directed to their existing account due to the different email. If the same name and phone number are used, the candidate may be flagged as a duplicate and the accounts can be merged. |
| Candidate originally created an account using social sign-in and attempts to create an account directly in Workday using the same email. | The candidate cannot create a new account because one already exists. They must log in using the original social provider. |
| Candidate originally created an account using social sign-in and attempts to create an account directly in Workday using a different email. | The candidate is not directed to their existing account due to the different email. A new account is created. If the same name and phone number are used, the candidate may be flagged as a duplicate and the accounts can be merged. |
Reset Password
Candidates who used a social provider to create their account must manage their passwords, including resets, directly through that provider.
Candidates who created their account using an email address through Workday can follow the steps below to reset their password.
- Click Forgot your Password? on the sign-in page. This is the only method for password recovery:

NOTE:

- If the password reset email is not received, ensure the candidate checks their spam or junk folders.
- If the candidate is unable to successfully reset their password, they should create a new account using a different email address.
- If the candidate has already applied using the account they cannot access, an email should be sent to gethelpUW@support.wisconsin.edu to requests the accounts be merged. Please include the candidate ID for each account in the request.
