Titan Apps - Importing emails to another Gmail account

Instructions on how to import emails from a university email to a regular Gmail account.

Importing emails to another Gmail account is helpful upon leaving the university, as email accounts are disabled after a certain point, or for a number of other reasons.

Setting up the exporting email address

First, the email from which you want to export emails needs to have POP settings enabled in order to be able to transfer emails.

  1. Go to and sign into the account.
  2. Go to https://my
  3. Scroll down to toward the bottom of the page where it says "Less secure apps access" (this needs to be turned on)

  4. Click on the text that says Turn on access (not recommended)
  5. Click on the right side of the circle to move the slider over to the ON position

  6. Click on the Google AppsGoogleApps button in the top right of the screen
  7. Click on Gmail

  8. Click the gear in the top-right corner and choose Settings.

  9. Click on the text at the top that says Forwarding and POP/IMAP and make sure the bubble that says "Enable POP for all mail" is selected.

  10. Click Save Changes.

Setting up the destination Gmail account

Next, the settings in the destination Gmail account need to be changed to move all the emails over.

  1. Sign out of the campus account and sign into the personal account.
  2. Click the gear in the top-right corner and choose Settings.
  3. Click on the Accounts and Import text at the top of the page
  4. Click on Import mail and contacts
  5. Enter the email address and click Continue

  6. Enter the password for your account

  7. In the POP username box if needed enter your email
  8. In the POP server box if needed enter
  9. Make sure the Port is listed as 995.
  10. Click Continue
  11. Check the other options depending on preference
  12. Click Start import
  13. The mail from the account will start populating in the destination email address.   It is not instantaneous and could take some time depending on the number of emails.  Let the process complete.
  14. After the account is disabled, you will not be able to send or receive mail as that account.

Other steps to take if your account will be disabled soon

Make sure to contact employers, email lists, and any other place where you have given your email account and update them with your @gmail. address. You will not be able to forward new emails from your account after the account is disabled.

Common errors and mistakes

  1. Error message: "We were unable to locate the other domain. Please contact your other provider."
    Solution: Enter the correct POP server ( and settings as indicated in step #5 above.

  2. Error message: "Web login required."
    Solution: Enable less secure apps on your account, instructions are at the top of this document
