(WHS Archives) ArchivesSpace -- Resource -- MARC Export

Instructions for exporting MARC Bibliographic from ArchivesSpace into OCLC. This does not usually happen in this order, but rather MARC record is imported.

MARC export from ASpace to OCLC

Note: MARC can be exported from ASpace, but usually the MARC record is created separately in OCLC and then imported into ASpace via Alma.

  1. Open Resource Record in ASpace

  2. Export -- Download MARCXML -- Include unpublished

  3. Open file in XML editor

  4. Remove <controlfield tag=”008”>

  5. Remove <subfield code="2">LCSH</subfield> inside <datafield>

  6. Inside <datafield> with tag="650" or "651", replace ind2="7" with ind2="0"

  7. Save

  8. Import into OCLC: File -- Import Records

  9. Select file to import [browse]

  10. Destination: Import to Local Save File.

  11. Check file path under Bibliographic, this will be the default local save file starting with
    L:\LIBRARC\LIBARC SHARED\OCLC Records\[file].bib.db

  12. Options: Type = BibNote ; Identifier = [initials]

  13. Record Characteristics -- Bibliographic Records: Record Standard = MARCXML ; Character Set = UTF-8 Unicode

  14. OK to import

  15. Do you want to delete your original import file = Yes

  16. Find record in save file selected in step 11

  17. Update record

    1. Apply Constant data

      1. Edit -- Constant Data -- Local -- Apply by Name
          ASpace import Mss
          ASpace import State
          ASpace import Local
          ASpace import WCFTR

      2. Choose MARC fields to apply = Both

      3. OK

    2. Fixed fields

      1. Ctrl = a

      2. Lang = change if not English

      3. BLvl = c

      4. Desc = i

      5. DtSt = 'i' for inclusive; ‘k’ for bulk [bulk takes precedence]

      6. Dates = verify dates from 245 $f or $g

    3. Diacritics = fix as they do not import correctly

    4. Remove extra spaces before periods " ."

    5. Control headings (1XX, 6XX [except 655], 7XX)

      1. Shift + F11

      2. If note "You may need to control some headings individually" appears, check uncontrolled headings to make sure there is no LCSH authority

    6. Add 041, if more than one language appears in 546

    7. Delete 044

    8. 245 = correct capitalization

    9. 300 = delete extra () around box count

    10. 545 = delete, unless useful

    11. Fill in 541 and 583; see end of 561 for accession number(s); add as necessary

    12. 561 remove accession numbers at end

    13. Delete 852 __ whi

    14. 856 $z, replace "Finding aid online:" with "Finding aid available online."
