(WHS Archives) Conservation -- Archives Treatment Reports in Alma
Instructions for entering conservation treatment reports in Alma for WHS Archival Records
Step ONE: Log-in to ALMA via http://www.library.wisc.edu/staff/tech-serv/tech-services/
- Click “ALMA Staff Login” in left hand column
- Log-in with Net ID and password
Step TWO: MARC Bib Record Search
- Search under call number, collection title, or other in search box to the right of the Alma menu
- Or in the Alma menu select “Repository Search” and do a keyword search
- Or in “Repository Search” select “Advanced search” to narrow down fields to search
- Find record that matches collection to be updated
- To open Bib record for edits select “Edit” under title; this opens the Metadata Editor
Step THREE: and Enter fields
- To add treatment record, highlight line [usually after last 583, but before and 6XX fields] and Ctrl + L or “Editing Actions” select “Add Local Extensions” to enter new local field
- Enter 583 and “$$a” will appear in the fourth column
- Enter “Conservation Treatment Record C20XX-YYY”
- On same line “Add new subfield”: F9 or “Editing Actions" select “Add Subfield” and $$ will appear
- In $$k subfield enter initials
- Click “save” at icon or Ctrl + S Send edit for update authorization, under “FILE” click “Assign Record to Another Cataloger” and from list choose Alison Bridger (Archives Cataloger). This will then allow you to also send a brief message with update reminding Alison it is for a conservation lab treatment record.
Step FOUR: Archives Cataloger review [no longer necessary if treatment record entered as a local field]
- Archives Cataloger receives record for review from Conservation Lab
- Update record in OCLC with 583 conservation note
- Save and release record in Alma Ctrl + Alt + R
