HR - Managing Performance Documents (HR Admin)

GENERAL DESCRIPTION:

This document will provide information on transferring, reassigning, reopening, canceling and deleting a performance document. It is intended for HR administrators use.

PROCEDURE STEPS:

Cancel a Document

NOTE: A single document can also be cancelled from within the performance document itself by clicking the Cancel Document hyperlink in the middle of the page. However this will not appear until after the document is past the Define Criteria phase.
  1. Navigation: Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Cancel Document

  2. Enter information in Search for Documents section to narrow results.
    NOTE: if Search Criteria are not used only 300 total records can be viewed.

  3. Click Search.

  4. Place a check-mark in the box for the record(s) to be cancelled.

  5. Click Continue.

  6. Click Save to confirm cancellation.

  7. Click OK on the Save Confirmation page.




Delete a Document

Warning_5.png  Once a document has been deleted it can not be re-opened.

NOTE: A single document can also be deleted once it has been cancelled from within the performance document itself by clicking the Delete Document hyperlink in the middle of the page.

  1. Navigation: Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Delete Document

  2. Enter information in Search for Documents section to narrow results.
    NOTE: Only documents that have been cancelled will appear on this list.

  3. Click Search.

  4. Place a check-mark in the box for the record(s) to be deleted.

  5. Click Continue.

  7. Click OK on the Save Confirmation page.

Re-open a Document

NOTE: A single document can also be re-opened from within the performance document itself by clicking the Re-open hyperlink in the middle of the page.
  1. Navigation: Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Reopen Document

  2. Enter information in Search for Documents section to narrow results.
    NOTE: Only documents that are cancelled or closed will appear.

  3. Click Search.

  4. Place a check-mark in the box for the record(s) to be reopened.

  5. Click Continue.

  6. Click Save to confirm reopening.

  7. Click OK on the Save Confirmation page.
    Warning  If the performance document is in the evaluation phase (Manager/Employee), these steps will only open the Manager Evaluation, additional steps must be taken to open the employee's evaluation.

Open Employee Evaluation  (only after Manager Eval is re-opened)

  1. Navigate: Workforce Development > Performance Management > Performance Documents >View Documents.

  2. Search for employee performance document.

  3. Click the document to open.

  4. In the information pane on the left side, click on the View hyperlink in Review Self Evaluation section.

  5. The employee evaluation will appear in a new tab.

  6. Click the Reopen hyperlink in the middle of the page.

  7. Click Confirm to reopen the document.

  8. Close the employee evaluation tab.
    NOTE: The employee will need to mark the self evaluation as complete before the manager can see employee comments again.

Transfer a Document

NOTE: Document transfer should be used when an employee has changed managers after the performance document has been created and the existing document will be used instead of creating a new document..
  1. Navigation: Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Transfer Document

  2. Enter information in Search for Documents section to narrow results.
    NOTE: if Search Criteria are not used only 300 total records can be viewed.

  3. Click Search.

  4. Place a check-mark in the box for the record to be transferred.

  5. Click Continue.

  6. Click the Select a Manager hyperlink.

  7. Enter information in the Search Criteria and click Search.
    NOTE: To see more information about the individuals listed, click the blue information icon, then Return to List hyperlink to return to the manager list.

  8. Click the radio button next to the correct manager.

  9. Click OK.

  10. Click Save to confirm transfer.

  11. Click OK on the Save Confirmation page.

Re-Assign a Document (Delegate)

NOTE:
  1. Navigation: Workforce Administration > Self Service Transactions > Approvals and Delegation > Add Delegation Request

  2. Enter search criteria to find the current manager.

  3. Enter the first day of re-assignment in the From Date.

  4. Enter the last day of re-assignment in the To Date.

  5. Use the magnifying glass to find the Transaction Name (Delegate_ePerformance_Doc)

  6. Enter the Empl ID of the temporary manager.

  7. Click Save.
