My study involves working with students, parents, or staff at K-12 schools. Are there any special requirements that I need to be aware of related to my IRB submission?

The IRB will want to see evidence that the schools involved in the project support the research, such as a letter of support from the appropriate authority each school or district. Letters of support should include the following information:

  • Study title
  • A scope of the research and/or activities to be conducted at the site
  • Person or entity providing permission (including title, contact information, and confirmation of appropriate authority to provide permission)

Each site may have different procedures for approving external research and different individuals who can grant permission for the research (e.g., a superintendent, principal, or review committee).

Note that human subjects research that involves students, parents or staff at schools that fall under the purview of Madison Metropolitan School District (MMSD) require approval by the MMSD External Research Committee (ERC). The MMSD ERC generally requires a UW IRB to approve the study before granting its approval. The IRB can provide a conditional approval to send to the MMSD ERC. Once MMSD ERC grants approval for the study, documentation of the approval must be submitted to the IRB via ARROW for final approval to conduct the research at MMSD.

If a researcher wishes to use student education records as part of a research study, the Family Education Rights and Privacy Act generally applies and can require researchers to obtain informed consent from parents and guardians for the use of records when the student is a minor.
